Lakeshore Minutes: How we handle your recordings

Your recordings and notes can include things said by residents, owners and board members. Here's exactly what happens to them.

How we handle your recording

• Transcription is local. We transcribe your audio on our own computer with open-source software (faster-whisper). Your audio is not uploaded to any AI or transcription service.
• Drafting. We may use an AI writing assistant on the transcript text to speed up the first draft. We only use paid business tiers whose published terms say they do not train on customer data, and that keep request logs for abuse monitoring for up to 30 days before deleting them (longer only if a request is flagged for abuse review). A person reviews and edits every draft.
• Never used for training. We don't use your recording, transcript or minutes to train or fine-tune any AI model, and we pick tools whose terms say they won't either. Your material is never used in our marketing or samples without your written OK.
• Deletion. We delete our copies of your recording, transcript and working notes within 7 days of final delivery, or sooner if you ask, and confirm by message. We keep the delivered minutes so we can make corrections unless you ask us to delete those too.
• Platform copies. Files and messages sent through Fiverr or Upwork are stored by those platforms under their own policies, which we can't change or delete. To limit this, you can send the recording by a private, expiring link instead of an attachment.
• Closed sessions. Please edit out any closed-session portion before sending. If we receive it, we delete it unheard.
• HOA owner personal info is included only as it appears in the record. We write down what was said in the open meeting. We don't look up or add owner names, addresses or account details. If something sensitive was said aloud, we flag it, and your secretary decides whether it stays.

Good to know

• Short version: Your recording is transcribed on our own computer. Audio is not uploaded to any AI service and is never used to train AI. We delete our copies within 7 days of final delivery (sooner on request). Files attached on Fiverr or Upwork are kept by that platform under its own policy.
• Your records: your own copy of the recording, and the official minutes, stay with you and under your own records rules.
• Confirmation: your delivery email gives the date we'll delete our copies. If you ask for early deletion, we confirm when it's done.
